Guest access & the waiting room
Guests join meetings from a plain browser link — no Exovo account, no software install, on any modern desktop or mobile browser. The link is shown in a toast when you start your meeting and copied to your clipboard when you create a scheduled meeting with guests enabled.
What a guest sees
Opening the link lands on a branded join page:
- You're invited — the meeting title, and a field for the guest's display name (plus the PIN, if the meeting has one).
- Camera and mic check — a live preview to pick devices and decide whether to join with the camera on or off. No camera at all is fine: the guest joins audio-only and gets an initials tile in the grid.
- The waiting room — after joining, the guest waits on a holding screen until the organizer lets them in.
Admitting guests
Inside the meeting, waiting guests appear in the participants panel with Admit and Deny buttons — or Admit all to clear the queue at once. New joins always wait in the lobby until admitted, so nobody appears in the room unseen. Admitted guests are labeled guest · joined via link in the roster, and the organizer can remove any participant at any time.
Locking the meeting
Once everyone you expect has arrived, Lock meeting closes the door: nobody new can join — even with the link — until you unlock it.
How guest access is secured
- Each link carries a per-meeting token; there is no guessable room URL.
- A guest's connection is a restricted, temporary identity valid only for that one meeting — it can't call anywhere else on the system.
- Join attempts are rate-limited per IP address, and an optional PIN adds a second factor for sensitive meetings.
- Guests wait in the lobby until the organizer admits them, and a locked meeting admits no one.
