Audio prompts and greetings
Every spoken greeting Exovo plays — a voicemail greeting, an auto-attendant menu, a queue's "you are caller number three" — comes from one shared prompt library. You add a prompt once and pick it anywhere of the same kind; there's no separate upload buried in every queue and mailbox.
Where prompts are chosen
Wherever the console offers a greeting or announcement, it shows the same prompt picker: a dropdown of existing prompts plus Upload, Record and a delete control, with an inline player to hear the selection. You'll meet it in:
- Voicemail greetings — your own under Settings → Greetings, any extension's under Admin → Users → (user) → Voicemail, and a queue's or ring group's under its Voicemail & Messages.
- Digital receptionists — the IVR's menu greeting.
- Queue and ring-group announcements — intro, comfort, position/wait and after-hours prompts.
Because the library is shared by kind, a greeting you upload for one queue is offered to every queue; record a single "our office is closed" message and reuse it across every after-hours menu.
Uploading a prompt
Click Upload and choose a .wav or .mp3 file, up to 10 MB. For WAV, the
telephony-safe format is PCM, 8 kHz, 16-bit, mono — any audio tool exports it. The console
rejects other file types and anything over the size limit with a clear message rather than failing
silently.
Recording by phone
No audio software and no file transfer — record straight from a phone:
- Click Record on the prompt picker.
- Choose which extension to record from (yours by default) and click Call & record.
- That extension rings and auto-answers — the call shows Record Prompt as the caller. Speak your greeting once it connects.
- Hang up to finish. The recording is saved and is immediately selectable in the picker.
It's the quickest way to a natural-sounding greeting, and it lets the front desk re-record a seasonal message without leaving their desk phone.
Managing prompts
Prompts are listed newest first. Select one to play it in the inline player, or use the delete control to remove it from the library — check that no mailbox or menu still points at a prompt before you delete it. To swap a greeting, upload or record the new one and pick it; the old recording can then be removed.
