Scheduling meetings
Besides your always-on personal room, you can schedule meetings ahead of time — with a title, a time slot, and their own guest links and dial-in codes.
Creating a meeting
In Meet, choose Schedule a meeting. The first choice is the type:
- Webmeeting — video, screen share and browser guest links; the full experience.
- Call — an audio conference. No video or guest links; participants join by phone dial-in or from their extension.
Then fill in:
- Title — what shows in the lobby and in invitations.
- When — date and time. Leave it empty to create a standing room: a meeting with no schedule that's simply always there, handy for a recurring huddle or a customer-facing room.
- Duration — 15 minutes up to 4 hours.
Guests
Flip Allow guests via link to let people without an Exovo account join from a browser, and optionally set a guest PIN (4–10 digits) that guests must enter. Every meeting also gets a phone dial-in code assigned on create, for participants joining by phone. The guest link is copied to your clipboard the moment the meeting is created.
Inviting people
Each scheduled meeting has Copy invite, which puts a ready-to-paste invitation on your clipboard — the guest link plus the dial-in number and meeting code. Internal colleagues don't need any of that: they can join from their own Meet lobby by entering your extension, or just be sent the link like anyone else.
Starting it
Scheduled meetings appear under Upcoming in the Meet lobby, with today's meetings called out. The organizer joins from there; guests wait in the waiting room until admitted.
